The break-even question, honestly framed
Job management software costs roughly £32 to £45 per user per month ex VAT for a team, or from £28/month flat for a solo trader on Powered Now's single-user plan (current vendor pricing was re-checked across 12–24 September 2026). Set that against your charge-out rate. At £40/hour, a £34 subscription is 51 minutes of billable time a month. The question is not 'is £34 cheap?'. It's 'does this tool give me back more than 51 minutes, or win me work I'd otherwise lose?'
Where the time realistically comes from: quotes written once against a price list instead of from scratch; invoices raised on-site the day the job finishes; automatic payment chasing instead of awkward Friday-night texts; job details, photos and certificates in one place instead of three notebooks and a photo roll. None of that is speculative; it's what this category of software mechanically does.
The second-order effects are bigger than the time savings
Faster quotes win work: a quote that lands the same evening beats a better quote that lands Thursday, and every trade knows it. Same-day invoicing shortens the gap between finishing work and being paid, which is a cashflow effect, not a convenience. And fewer dropped balls, the forgotten quote or the uninvoiced day of labour, are the expensive leaks these systems actually plug. One uninvoiced day of labour a year costs more than a year of any subscription here.
When it genuinely isn't worth it yet
If you're brand new and work is sporadic, a diary, a spreadsheet and a decent invoice template cost nothing and may be enough until volume forces the issue; revisit when you're regularly quoting more than a handful of jobs a week. If your problem is winning work rather than administering it, spend the money on visibility first. And if you know you won't put the setup hours in, don't pay for software you'll abandon; the user evidence on abandoned setups is consistent and unforgiving.
One more honest note: 'free' isn't always the answer either. ServiceM8's free tier is genuinely useful at up to 30 jobs/month, but Android fit should still be proved on trial: newer ServiceM8 Help Centre pages describe near-parity with iOS while other live vendor pages still carry older Lite/Apple-first wording.
